Updated EWP ΙΙΑ API (version 7)

The EWP Dashboard has been upgraded to the newest version of the EWP inter-institutional agreement standard as of the 2nd of April - as planned and announced in September 2023 (for more information about the functionalities of the new version, please read this article published in September 2023). From the update, institutions can modify and terminate inter-institutional agreements across all systems, among other improvements.

The version 7 of the IIA API supports:

  • Deletion of unapproved IIAs

  • Termination of Approved by All IIAs

  • Modifications to Approved by All IIAs

Deletion of not approved IIAs

With the release of the IIA version 7, the EWP Network supports the deletion of not yet approved by all parties IIAs. Agreements which have been approved by all at any point, are not possible to delete. For more information on how to delete an IIA in the EWP Dashboard please visit https://esci-sd.atlassian.net/wiki/x/CAC1Eg.

Termination of approved by all IIAs

The new version also allows the termination of already approved by both parties agreements. In order for a termination to take effect, it needs to be approved by both parties of the agreement . For more information on how to terminate an IIA in the EWP Dashboard please visit https://esci-sd.atlassian.net/wiki/x/GICpEg.

Modifications to approved by all IIAs

The IIA Version 7 allows modifications to already approved by both parties IIAs. In order for a modification to take effect, it needs to be approved by both parties of the agreement. For more information on how to modify an IIA in the EWP Dashboard please visit .

There is also a new functionality to revert back the IIA to its previously Approved by All state, after a modification or termination. For more information on how to Revert an IIA please visit .

What should be kept in mind when continuing the work on IIAs

Mutually approved IIAs are not affected by this update

All agreements previously approved by both parties in the EWP network, remain valid for the duration they were approved for.

You do not need to adjust any data in your existing agreements considering the update. All institutions can proceed as normal with nominations of their students based on their mutually approved inter-institutional agreements.

If you need to modify an agreement after the transition due to an agreed change in the cooperation, you will be required on this occasion to adjust fields in line with the updated standards (e.g., provide a 4-digit ISCED code or Language Requirements, if not done in the earlier version of the agreement).

IIAs initiated but not approved before this update

All IIAs initiated after the update will automatically follow the new standards. All IIAs initiated but not approved by both parties before the update also need to follow the new standards for them to become mutually approved.

When the draft agreement already follows the new standard, no additional action is required by the users. If not, you will be required to adjust the fields to the updated standard (e.g., provide a 4-digit ISCED code or Language Requirements).

The partner is not ready for the update

The agreements approved by both parties via the EWP network before the update remain valid for the duration they were approved for.

For any new agreements or agreements not yet approved by both parties via the EWP network, you can conclude them outside the EWP network or wait until both partners support the updated inter-institutional agreement EWP API.

You can check in the EWP Stats Portal if your partner institution is connected to the version 7 of the inter-institutional agreement API. See the EWP Stats Portal guide [pdf] for more information.
