Organizational Units
Bringing Organizational Units to the forefront has a significant impact on the ecosystem of applications, benefiting both students and HEIs.
The Organizational Units of an HEI can be accessed from the left menu under the "My University" section. IROs have the ability to add new Organizational Units, as well as edit or remove existing ones, based on their available faculties, departments, etc.
On the http://learning-agreement.eu application, where students create and edit their Learning Agreements (LAs), organizational units can now be selected from a dropdown list, in contrast to the previous method of typing faculties as free text. Therefore, it is essential that the Organizational Units are up-to-date and correspond to the available faculties, departments, etc. of your institution.
Upon making an OLA, students will first select their sending or receiving institution.
Based on the selected institution, students can then choose the faculty/Organizational Unit.
The dropdown selection for Organizational Units is available for both sending and receiving institutions.
Even if the receiving institution is not an EWP Dashboard user but is represented by another system in the EWP Network, the dropdown functionality will still be available. Organizational Units in the dropdown will be loaded via the EWP Network, ensuring the student can make the correct selection.
In this guide you will find information about adding, editing and removing an Organizational Unit.
Add a new Organizational Unit
To add a new Organizational Unit, simply click the corresponding button located at the bottom right of the page.
In the pop-up window, all the required information for the new Organizational Unit must be filled in.
Unit Name Language: Select from the drop-down box the language.
Unit Name: Enter the name of the new Organizational Unit.
Unit Abbreviation: Enter an abbreviation of the Organizational Unit.
Contact Name Outgoing Learning Agreements: Enter the name of the contact person for the outgoing OLAs.
Contact Email Outgoing Learning Agreements: Enter the email address of the contact person for the outgoing OLAs.
If the contact person for the Incoming Learning Agreements is the same, the Organizational Unit can be added by clicking the "ADD A NEW ORGANIZATIONAL UNIT" button.
Incoming Learning Agreements contact person is different: If the contact person for the Incoming Learning Agreements is different, check the checkbox to enable the fields for specifying the Contact Name and Email of the contact person for Incoming LAs.
HEIs can, therefore, stipulate the contact points for incoming and outgoing Learning Agreements per Organizational Unit according to their needs and ensure the right person receives the notification.
Please note that any of the EWP Dashboard staff member accounts can sign the OLA, as long as it has the necessary roles assigned to it, and their contact information will be displayed in the commitment area in the Learning Agreement. |

Again, by clicking the button “ADD A NEW ORGANIZATIONAL UNIT” the process is fulfilled.
The message at the bottom left of the page informs you that the Organizational Unit was added successfully.
Edit Organizational Unit
If there is a need to change the details of an existing Organizational Unit, it can be edited by clicking the yellow button on the right in the Organizational Units listing view.
Clicking the yellow button will open a window where you can edit the details of the corresponding Organizational Unit.
After editing the Organizational Unit, click the SAVE CHANGES button. A pop-up window at the bottom left will notify you if the changes were successfully saved.
Delete Organizational Unit
If an Organizational Unit is no longer needed it may be deleted from the grey bin icon on the right in the listing view of the Organizational Units.
The window that pops up warns you that you are going to delete the Organizational Unit.
If you choose to confirm and click the DELETE button, the Organizational Unit will be deleted and a message at the bottom left of the page will confirm that.
