The EWP Registration Portal (RP) is an online service that plays a pivotal role in supporting the deployment of the Erasmus Without Paper (EWP) and the European Student Card Initiative (ESCI). From the RP Higher Education Institutions (HEIs) can enter or change their EWP settings, having full control as to how they are represented in the EWP Network. Mobility software providers may register manifest files of their customers enabling them easy access to technical data. The Portal supports a maintenance-free EWP Network enrolment mechanism to the highest extent possible.


Main goals of the Registration portal

  • Improve governance

HEIs get agency and tools to manage their connection to the Network. This goal is achieved by giving institutions the way to sign in on the Registration Portal with the credentials passed from their home authorisation system and the right to approve their manifests.

  • Improve network management

In the Registration Portal all stakeholders – HEIs and mobility software providers – manage all network parameters of their connectivity by themselves, anytime. Registry administrators and EWP network authorities also can handle the needed activities via the web portal. This is made possible by functionalities of the Registration Portal described in the following chapters.

Other goals of the Registration portal

  • Document management

All important documents, such as the signed EWP Collaboration Agreement, are gathered in one place which is easily accessible to all stakeholders.

  • Automatic verification of ownership

In line with the carefully crafted verification rules, the portal supports security and ownership by verifying the identifiers (such as SCHAC code) transported in the set of attributes from MyAcademicId against identifiers obtained from other sources (ECHE List API, HEI List API, manifest files).


Joining the EWP Network

The join procedure is described in detail in the chapter Joining the EWP Network.

Here we describe thise procedure in the context of the Registration Portal.

Joining via 3rd party provider

Institutions which use software from a third party provider, join EWP via their provider. The provider needs to upload information on the Registration portal (step 1) where the authorised employee of the institution (the so-called EWP-administrator) will need to confirm they are supported by this provider for using EWP (step 2):

  • Step 1: Preparation by the 3rd-party provider.

  • Step 2: Confirmation by the Higher Educaton Institution.

Joining via in-house mobility software

The so-called EWP-administrator from the institution looking to join the EWP-network, need to login to the Registration portal where they need to add a signed Collaboration Agreement and add the URL to the so-called manifest file. The procedure involves the following steps:

  • Step 1: Getting technical admission.

  • Step 2: Uploading Collaboration Agreement in Registration Portal.

  • Step 3: Verification by EWP technical team.

  • Step 4: Adding link to manifest file in Registration Portal.
