Note to EWP users regarding Mobility Online and inter-institutional agreements

The EWP Consortium informs all EWP users that, until further notice, they are advised against any and all actions pertaining to the reapproval of previously finalized inter-institutional agreements with MobilityOnline users. Inter-institutional agreement exchanges between other systems connected to EWP are not affected and may continue as normal.

What prompts this note?

Several higher education institutions, which are MobilityOnline clients, have reported that, further to changes in the system they use, their provider informed them they must reapprove some of the inter-institutional agreements they had previously established with their partners; in some cases, this seems to affect a significant percentage of the inter-institutional agreements previously approved. 

We are not aware of similar cases in which such a large number of agreements needed to be reapproved, and this situation raises concerns about the potential workload and impact on users. Requesting institutions to repeat actions that had already been completed could result in inefficiencies and additional effort for both MobilityOnline users and their partners in other systems.

We thank all colleagues who have alerted us to this situation, given that MobilityOnline has not informed or coordinated with the EWP Consortium or the European Commission on such a sensitive matter. With present note we want to inform all EWP users on the matter that risk having a negative systemic impact across the EWP Network, hoping to avoid a bumpy start of the 2025/2026 academic year. 

What will happen next? 

The EWP consortium awaits key elements from MobilityOnline to be able to carry out an impact analysis. In the meantime, we are processing feedback received through the EWP Service Desk, and if you have been affected by this issue, feel free to contact us here (link). 

Once a full impact and risk analysis is completed, this will inform subsequent steps. We will keep the EWP community of users updated once more information is available through the EWP User Group (link), the National Agencies Digital Officers and the EWP LinkedIn account (link). 

The EWP Consortium remains fully committed to constructive dialogue with MobilityOnline and all stakeholders to clarify the situation and work towards a solution. We will continue to do everything we can to support users and to ensure the smooth functioning of inter-institutional agreement exchanges across the EWP Network.
